Workflow Tools: Choosing Where Your Processes Should Live

What it is Workflow is the ordered series of steps a piece of work follows from request to result. It covers the route work takes, not the software that runs it: how rules or a model automate the steps is a separate guide.
Read this if You are mapping how work moves and want to know where a tool should take over.
Skip it if You want the automation definition, or a ranked list of tools for a given job.

Step 1 · Understand it

Where it sits in the process

Before it, this page, after it. Check you are on the right step before reading on; a link opens the guide when one exists.

Before Business process The outcome the work must reach, set before any steps are drawn.
This page Workflow The steps, owners and order a piece of work follows to get there.
After Workflow software A tool holds the workflow, assigns each step and tracks every run.
After Workflow automation Software or a model carries the steps out without a person handing them on.
Not to be confused with ✕ Task management: tracks who owes what, not the route between steps ✕ Workflow automation: runs the steps with software; a workflow exists without it
Step 1 · Understand it

How it works

4 things to remember. Each card states one; the line under it is the detail.

A workflow is the route work takes; a process is the outcome it serves

Paying a supplier is the process; the invoice, the manager's check and the payment, in that order, are the workflow that carries it out.

Process, case and project workflows differ in how fixed the steps are

A process workflow repeats fixed steps; a case workflow picks its next step as facts arrive; a project workflow follows a set path once.

Mapping a workflow means writing each step and its owner before choosing a tool

Start from the trigger and the final result, list the steps between them, and mark every point where work waits for a person.

Workflow management software holds the steps, their owners and each run's status

A task board, a routing form or a flow builder can play this role; they differ in how much of the work they run themselves.

Step 2 · Check it applies

Does it apply to you?

Tick what is true for you. Each line is a case where a tool changes nothing.

AI workflow automation and workflow automation are covered in their own guide, not here.

A tool enforces the steps only when the team agrees to work through it, not around it.

Software pays off when a workflow repeats and passes between people; otherwise a list does the job.

Tick the lines that describe you.

At least one of these is true for you: fix that first. No tool changes it.

None of these is you. The term applies to your situation.

Process answers what the business must achieve; workflow answers who does which step and in what order. Changing the workflow can leave the process unchanged.

Invoice approval is a process workflow, a support ticket whose next step depends on findings is a case workflow, and a product launch is a project workflow.

Draw it, then walk through it with the people who do the work, noting the exceptions they handle by hand before you choose a tool.

It is the runtime of a workflow tool: it decides which step is next, keeps each run's state and retries or stops a failed step.

When requests get lost, nobody knows who holds the next step, or the same message is forwarded again and again.

Workflow management runs the steps of a task; business process management looks across the whole process to redesign it and measure the result.
