Beyond the scores
The sections below place the thirteen tools by starting job, then read their automation limits, their prices and their AI agents from the vendors' own pages.
These tools automate work from different starting points
Zapier connects 9,000+ apps, and n8n builds workflows and AI agents, self-hosted or in the cloud. Salesforce and HubSpot list sales teams as their audience, and Monday sells a CRM platform to manage pipelines. Apollo pairs a 240M+ contact database with sequences, ClickUp is a work platform that lists integrations with 1,000+ tools, and CoPilot AI automates LinkedIn outbound.
Gemini and Claude are AI assistants, and the OpenAI API gives access to OpenAI models. Warmly identifies website visitors, and Klaviyo sends email and SMS campaigns. Digital prepress workflow solutions and digital document workflow solutions, the print and document-capture side of the phrase, are outside this page.
Plans meter automation in executions, tasks, credits or campaigns
Plans meter automation in different units, so their numbers cannot be added up. n8n's Starter plan lists 2.5k workflow executions and Pro 10k, and Apollo's Basic plan lists 2,500 credits per seat a month, read on Oct 3, 2026. Zapier's Free plan lists 100 tasks a month and Professional 750, and each of Warmly's plans lists credits from 10K a month, read on Sep 29, 2026.
CoPilot AI's Core plan lists 10 campaigns and 600 invites a month, read on Oct 4, 2026. HubSpot's Starter plan includes 500 HubSpot Credits and Professional 3,000, read on Oct 12, 2026.
Prices come with different billing cycles, currencies and units
Prices are not like for like. Salesforce Sales Cloud prices Pro Suite at $100 per user a month, billed annually. Apollo prices its Organization plan at $119 per seat a month, billed annually, with a 3-seat minimum. CoPilot AI's Guided plan costs $299 a month, billed annually. Zapier's Professional plan starts at $29.99 a month, billed monthly, or at $19.99 billed annually.
Some prices use other currencies or units. n8n's Starter plan is €24 a month, billed monthly, and Monday prices monday CRM's Basic plan at CA$21 per seat a month, billed monthly. The OpenAI API bills input tokens at $0.10, $2.00 or $10.00 per million, depending on the model. All were read between Sep 29 and Oct 5, 2026.
AI agents appear in different forms and on different plans
CoPilot AI lists three coordinated AI agents for LinkedIn outbound, covering strategy, targeting and replies. Salesforce lists AI sales agents as an add-on or on its Max plan, which costs $550 per user a month, billed annually, with 2.75M Flex Credits per organization a year. Warmly's Inbound Chat plan includes 1 AI Studio Agent.
Monday lists a Lead Sourcing Agent and a Calling Agent, Klaviyo lists a Composer AI marketing agent and a Customer Agent for support, n8n lists AI agent nodes inside workflows, and the OpenAI API lists an Agents SDK, all read between Sep 27 and Sep 29, 2026.
Before you choose
This page does not walk through paper digitizing: that belongs to the document capture side of the phrase digital document workflow solutions. It ranks thirteen tools that automate work already in digital form and says nothing about scanners or capture software.
This page does not define the difference; it compares tools by review score, price and limits. Zapier lists multi-step Zap workflows and n8n lists app-event, schedule and webhook triggers, while this page reads no RPA listing for any of the thirteen tools.
This page does not measure gains by function. It does read the audience some vendors name: Monday names revenue teams, OpenAI names API developers, Gemini names personal Google Account users, and Klaviyo names B2C brands.
For CRM systems, yes where an integration is listed: Warmly, Apollo, CoPilot AI, n8n and Zapier each list HubSpot and Salesforce, read between Sep 25 and Sep 29, 2026. This page reads no ERP or HR integration for any of the thirteen tools, so it does not say whether they connect to those systems.
This page does not test whether a workflow can be built without developers. Salesforce lists drag-and-drop workflow automation, while n8n names technical teams as its audience and lists code steps in JavaScript or Python.
