CRM Tech: The Stack Around the System of Record

What it is CRM tech means the software and connected tools that run customer records, sales activity and follow-up together. It covers the tools around the customer record, not a single product: a CRM system is one part of the stack, not all of it.

Step 1 · Understand it

Where it sits in the process

Before it, this page, after it. Check you are on the right step before reading on; a link opens the guide when one exists.

Before Lead capture Contacts, leads and deals are captured where customers first reach the company.

Step 1 · Understand it

How it works

3 things to remember. Each card states one; the line under it is the detail.

CRM technology is the record of customers plus the tools that read it

A CRM system is the record itself; the technology around it adds scheduling, signing, support and messaging on that same record.

Tools around the record read from it or write to it

A calendar link can create a meeting on the contact, a signed document can attach to the deal, a support ticket can show in the history.

Connecting the stack means deciding which tool owns each piece of data

Name the source for contacts, meetings and tickets first; the links between tools come after, so edits do not overwrite each other.

Step 2 · Check it applies

Does it apply to you?

Tick what is true for you. Each line is a case where a tool changes nothing.

Advanced features inside the record do not link the scheduling, signing and support tools beside it.

Add a tool only when a step the CRM cannot do keeps being handled by hand.

Fields stored in several places drift apart unless a single system is named the source.

Check which fields and events the link actually carries before relying on it.

Tick the lines that describe you.

At least one of these is true for you: fix that first. No tool changes it.

None of these is you. The term applies to your situation.

Step 3 · See the tools

The tools people mean by this

Grouped by function, not ranked. A tile opens our review; Try goes to the vendor.

Scheduling, signing and work tools

They handle meetings, signatures or tasks next to the CRM and connect back to it.

Service, phone and marketing tools

They run support, calls or campaigns and publish integrations with the systems around a CRM.

Start from the CRM's built-in integrations, such as HubSpot's 2,000+ available apps, and name one system as the source for each field.

Some CRM technologies bundle extras: HighLevel is designed to replace multiple subscriptions; add separate tools only where a step is still handled by hand.
