Step by Step

Complete database to sending workflow

  1. Source contacts with ICP filters and export with LinkedIn URL included

    Apply filters for seniority, headcount, industry, and geography. Export as CSV with LinkedIn URL: it is the enrichment key at Step 2. Cap at 500 contacts per batch on first run.

  2. Enrich missing firmographic and contact fields before touching verification

    In Clay (from $134/mo annual), set a waterfall enrichment column for email and add firmographic columns (headcount, industry, founded year). Most single-database exports have 15-25% field gaps per segment.

  3. Verify email addresses and remove all contacts below the deliverability threshold

    Remove all invalid contacts. Flag any domain where 30%+ of contacts return catch-all status for manual review. Minimum threshold before any list enters a campaign: 85% verified.

  4. Deduplicate against the CRM and run the suppression check

    Cross-reference the enriched email list against a CRM export covering active deals, existing customers, and do-not-contact entries. Remove every match before proceeding.

A contact absent from the CRM at list build may appear as an active opportunity three weeks later. Check suppression against a fresh CRM export at every new batch load, not on a calendar interval.

    Tag contacts by headcount or industry using a conditional column in Clay or a spreadsheet filter. Save each segment as a separate CSV and map it to a specific sequence before import.

  2. Load each segmented list into the sending tool and assign a warmed sending domain

    Create a campaign per segment and import the corresponding CSV. Before activating: daily send limit at 30-40 emails/mailbox, unsubscribe link present, tracking domain configured.
