Low Email Accuracy: Diagnosis and Fix

Diagnose the root causes of low email accuracy in your outbound lists, fix the data pipeline producing bad results, and prevent the problem from recurring with a pre-send verification checklist.

Fast Diagnosis

Low email accuracy traces back to 1 of 4 causes

The most common source is single-provider sourcing with no verification step. If you added no verification layer after export, start there.

Cause 1
Single-provider sourcing, no waterfall
One database covers 40 to 60 percent of any B2B segment. A multi-provider waterfall pushes fill rates above 90 percent.

Cause 2
No pre-send verification pass
Well-sourced lists still contain 8 to 15 percent catch-all or invalid addresses at export. Without verification, those addresses generate bounces on day one.
Jump to fix →
Cause 3
Stale data over 90 days old
Contacts change jobs and email formats shift at roughly 20 to 30 percent per year. Lists over 90 days carry materially higher invalid rates.

Work through all 4 causes in order
Start with Cause 1 (sourcing coverage): it is the most common. If fill rate is above 90 percent, move to Cause 2 (verification) then Cause 3 (stale data).

Root Causes

4 root causes of low email accuracy: how to confirm each

Root causeHow to confirmUrgency
Single-provider sourcing, no waterfallFill rate on last export below 85 percent: coverage is the issueHigh
No email verification before activationBounce rate on last campaign above 3 percent: unverified listHigh
Stale data (list age over 90 days)Check export date on source file; cross-reference current job titlesMedium
Catch-all domain inflationRun through a verification tool; catch-all flag above 20 percent is a risk signalMedium
🚨
Bounce rate above 5%: pause immediately

Sending domains above 5 percent bounce enter a reputation decay cycle that inbox providers flag within days. Pause the active campaign, verify remaining unsent contacts, and do not resume until the projected bounce rate is below 2 percent.

The Fix

4 steps to fix low email accuracy now

Apply these steps in order. Steps 1 and 2 address the list you are holding now. Steps 3 and 4 fix the sourcing pipeline so the problem does not reappear on the next campaign.

  1. Run a bulk verification pass on the current list

Export your list as a CSV and upload it to a verification tool. Bouncer and Emailable return a status column for each address (deliverable, undeliverable, catch-all, unknown). Remove all undeliverable addresses and segment catch-all contacts into a separate low-risk send pool.

Do not rely on your sequencer's built-in bounce detection as a verification substitute. Sequencer detection is reactive: it registers a bounce after the damage to your sending domain is already done.

  2. Route catch-all addresses to a separate low-volume campaign

Catch-all domains accept any incoming address, so verification tools cannot confirm whether a specific address is real. Create a dedicated campaign for catch-all contacts with lower daily send volume and a separate sending domain to contain potential damage.

If catch-all addresses represent more than 30 percent of your list, that signals a sourcing problem upstream. Move to Step 3 before activating any part of the list.

  3. Add a second provider or switch to waterfall enrichment

If your fill rate is below 85 percent, your sourcing pipeline is too narrow. Clay waterfalls across 150 or more providers and stops on the first match, raising fill rates from 60 to 90 percent or above. Findymail finds and verifies in a single step using a LinkedIn URL, eliminating the gap between enrichment and verification entirely.

Single-provider sourcing is the most common structural cause of low email accuracy. Adding one additional provider is the highest-leverage fix available.

  4. Re-verify any list older than 90 days before reuse

B2B contact data decays at roughly 20 to 30 percent per year. Before reusing any list segment, run it through a verification tool and rebuild contacts that return an undeliverable status.

Lists used in a previous campaign also require re-verification before a second activation. Contacts who did not reply are not necessarily still reachable at the same address.

⚠️
Verify within 48 to 72 hours of launch

A verified list that sits unused for 30 or more days will accumulate new invalids before the first send. Never verify weeks in advance.

Prevention

3 rules that prevent low email accuracy from recurring

The most effective fix is moving verification upstream: build it into the enrichment step rather than running it as a separate task. Findymail verifies at the point of finding, removing the window between enrichment and activation where stale addresses accumulate.

Set a hard list age limit of 90 days across your team. Any segment older than that requires a re-verification pass before entering a campaign queue, including recycled lists from previous campaigns.

✅
Kill threshold: 3% per campaign

If any active campaign crosses 3 percent bounce rate, pause sends on that domain immediately and re-verify the unsent portion before resuming. Catching issues at 3 percent prevents the escalation to 8 to 10 percent that requires full domain recovery.

Common Questions

Low email accuracy: frequently asked questions

Q What are the most common low email accuracy causes?
The two most common causes are single-provider sourcing with no waterfall (leaves 15 to 40 percent of a segment unfound) and activating a list without a verification pass. Add a second enrichment provider and run bulk verification before every export.
Q How do I fix a list that already has high bounces?
Pause all sends on the affected domain immediately, then run the unsent list through Bouncer or Emailable. Do not resume until the verified remainder projects below 2 percent bounce rate.
Q How often should I re-verify a B2B email list?
Re-verify any list over 90 days old before reuse, and reduce that to 60 days for high-turnover segments such as early-stage startups. Always re-verify lists from prior campaigns before a second activation.
Q Should I send to catch-all addresses at all?
Yes, but route them to a separate campaign on a separate sending domain at lower volume. This contains any bounce spike without discarding contacts that may be reachable.
