Call + Email Logging Hygiene
Every call outcome and email touch captured in the CRM with correct fields, contact attribution, and activity type. Reliably, not just when reps remember.
Before You Start
60-90 min setup: output and prerequisites
Output: Every outbound call and email recorded under the correct contact, with outcome, direction, duration, and email thread attribution captured automatically or via a defined manual rule. Ongoing: 15 min/week for the activity audit once live.
Admin access to your CRM (HubSpot, Salesforce, Pipedrive, or Close). A dialer or SEP connected to that CRM, or a confirmed plan to connect one. At least one active rep logging calls and sending emails. A shared doc or wiki for the logging standard.
Workflow Overview
The 6-step workflow at a glance
| Step | Action | Tool | Output |
|---|---|---|---|
| 1 | Define activity field standard for calls and emails | Shared doc / Notion | Required fields list per activity type |
| 2 | Enable auto-logging in your dialer | Close / Aircall / JustCall | Calls logged automatically to contact timelines |
| 3 | Configure email sync and thread attribution | HubSpot / Pipedrive / Salesforce | Emails matched to correct contact and deal records |
| 4 | Set manual logging rules for off-dialer calls | CRM + rep SOP | Short handbook rule with a 30-minute deadline |
| 5 | Run a weekly activity gap audit | CRM native reports | List of contacts with missing activity records |
| 6 | Build a logging QA checklist for rep onboarding | CRM / Spreadsheet | Repeatable hygiene standard for new reps |
Step by Step
6-step call + email logging workflow
- Define your activity field standard
Write a shared doc listing every required field before touching CRM settings. Calls: direction, outcome (no answer / connected / meeting booked / not interested), duration, notes. Emails: activity type, contact attribution, associated deal, reply status.
- Enable auto-logging in your dialer
Connect your dialer (Aircall, JustCall, Close) to the CRM and enable activity sync. Map call outcomes to the disposition codes from Step 1, then test: make one call and confirm the record appears on the contact within 60 seconds.
- Configure email sync and thread attribution
Enable email sync in HubSpot (Gmail/Outlook extension) or Pipedrive (native sync or Smart BCC). Set attribution scope to both contact and associated deal, not contact-level only. Test with one thread before rolling out to the full team.
Most common email sync failure: scope is set to contact-level only. In HubSpot, set logging to "contact and associated deal." In Pipedrive, confirm each email is linked to the deal via the sidebar. If pipeline reports show zero email activity on open deals, this is the cause.
- Set manual logging rules for off-dialer calls
Any call not made through the connected dialer must be logged manually in the CRM within 30 minutes, with outcome and a brief note. One rule, one deadline: short rules with concrete deadlines get followed.
- Run a weekly activity gap audit
Pull a CRM report: contacts touched in the last 7 days with zero logged call or email. Flag the rep, fill the missing record manually, track the gap count week over week. A count that is not shrinking means the manual logging rule is not sticking.
- Build a logging hygiene checklist for rep onboarding
5-item day-one checklist: dialer connected, email sync tested with one thread, test call logged with outcome field filled, manual logging rule acknowledged, first weekly audit date confirmed. Store in the CRM or wiki and update whenever a tool change alters the setup steps.
SDRs at 50+ calls/week need outcome as a required dialer disposition. AEs in longer cycles need deal-level email attribution more than call volume. Make fields required where each role actually needs them.
Common Failures
What breaks in call + email logging and how to fix it
The two most common failures: calls logged to the wrong contact, and email sync that drops deal-level attribution. Both are configuration issues, not connection failures.
