Dialer to CRM Logging Workflows
Configure your dialer so every call, disposition, recording, and post-call note lands in the CRM automatically. No manual logging, no missing activity records.
Before You Start
45-90 min setup: what you need before you start
Output: Every outbound and inbound call syncs to the correct CRM contact or deal record with duration, disposition code, recording URL, and agent notes. No rep creates a CRM activity manually after a call.
Time required: 45 to 90 minutes for initial configuration. Under 10 minutes to replicate for an additional user once field mapping is confirmed.
Admin access to your dialer and CRM with write permissions enabled. Contacts must have phone numbers populated. Confirm your plan includes the integration needed: Aircall Salesforce CTI requires Professional tier.
Workflow Overview
5-step dialer to CRM logging workflow at a glance
| Step | Action | Tool | Output |
|---|---|---|---|
| 1 | Connect dialer to CRM via OAuth | Dialer admin panel + CRM | Test call logged in CRM contact record |
| 2 | Define and lock call disposition codes | Dialer settings | Standardized disposition list active for all reps |
| 3 | Map dialer output fields to CRM activity fields | Dialer integration settings | Duration, recording URL, disposition, and notes all mapped |
| 4 | Configure voicemail drop auto-logging | Dialer power dialer settings | Every dropped voicemail logs as a CRM activity automatically |
| 5 | Set post-call workflow triggers | CRM + dialer automation | Follow-up tasks and sequence steps fire from call outcome data |
Step by Step
5 steps to log every call in the CRM automatically
- Connect your dialer to the CRM via OAuth
In Aircall, go to Integrations, select Salesforce or HubSpot, and click Connect. Kixie and JustCall use Settings then Integrations; PhoneBurner and Dialpad use Admin then Integrations. Authorize write permissions explicitly: read-only OAuth will not log calls. Verify by placing a 30-second test call and confirming the activity appears in the CRM within 5 minutes.
- Define and lock your call disposition codes
Define a fixed list of 6 to 8 codes before enabling logging: Connected, Voicemail Left, Not Interested, Wrong Number, Callback Requested, DNC. In Aircall: Settings then Numbers then Disposition Codes. In Kixie: Dialer Settings then Call Dispositions. In JustCall: admin portal under Call Settings. Long menus cause reps to skip the field and break CRM data quality.
- Map dialer output fields to CRM activity fields
Five fields must map correctly: call duration, recording URL, disposition code, agent notes, and timestamp. In Aircall Professional, the Salesforce CTI connector maps these automatically. In PhoneBurner and JustCall, verify each field has a named CRM target in integration settings and create custom CRM fields for any that are missing. A missing field drops data silently on every call.
- Configure voicemail drop and auto-logging
In Kixie, enable Voicemail Drop under Dialer Settings and confirm the voicemail log toggle is on separately from the call log toggle. In PhoneBurner, voicemail drop logs automatically as a Call with Voicemail disposition. In Aircall, Voicemail Drop requires the Professional plan. Test by dropping a voicemail to an internal number and checking the CRM record before rollout.
- Set up post-call workflow triggers
In HubSpot, build a workflow that triggers when disposition equals Callback Requested and auto-creates a follow-up task 24 hours later on the contact record. In Salesforce, use Flow against the activity object. For tools outside native CRM integration, post-call webhooks from Kixie or JustCall connect to Zapier or Make. Confirm each trigger fires on a test contact before activating team-wide.
Re-authenticate the dialer integration and confirm write permissions are still enabled. A second common cause: the CRM contact has no phone number populated, so the dialer cannot match the call to a record.
Pre-Launch QA Checklist
OAuth active with write permissions confirmed. Test call logged in CRM within 5 minutes. All 5 fields mapped: duration, recording URL, disposition, notes, timestamp. Disposition list locked. Voicemail drop verified on test contact. One post-call trigger tested end-to-end before activating in production.
Common Failures
4 things that break dialer-to-CRM logging, and how to fix each
Most failures trace to an expired OAuth token or a CRM contact with no phone number. The checklist above catches both before they affect live data.

A working logging setup degrades fast without hygiene rules. The next workflow covers how to prevent duplicate activities, stale dispositions, and missing notes from drifting back in.
