6 steps to connect Apollo to HubSpot or Salesforce
- Enable the native CRM integration in Apollo Settings
In Apollo, go to Settings then Integrations. Select HubSpot or Salesforce and click Connect. Authenticate with CRM admin credentials: Apollo requests read/write access on contacts, accounts, and deals.
Complete authentication in a single session. A broken session may not carry the correct OAuth scopes: log out and restart from scratch if the permissions screen does not appear.
- Map Apollo contact fields to CRM properties
Apollo presents its field mapping interface after authentication. Map each standard field (first name, last name, email, title, company, phone, LinkedIn URL, city, country) to the corresponding CRM property. For Salesforce, Apollo maps to Lead or Contact objects; for HubSpot, to the Contact object by default.
Custom fields require manual mapping. Create the custom property in your CRM first, then map it in Apollo. Fields left unmapped are silently dropped on sync.

Choose one-way push when Apollo is your primary data source and the CRM is the record of engagement. Choose bidirectional only when AEs update deal stages or contact details in the CRM that must flow back into Apollo.
Bidirectional sync without field-level ownership rules causes silent overwrites. At minimum, set Apollo as authority for contact fields (email, phone, title) and the CRM as authority for deal stage and owner.

Apollo matches on email address by default before creating new CRM records. Confirm this in Apollo's integration settings. For contacts without email addresses, add LinkedIn URL or full name plus company as a secondary match key.
Do not run a bulk sync before verifying dedup. A push of 1,000 contacts without dedup rules creates duplicates requiring manual cleanup. Test on 10 to 20 known contacts first.

Apollo's automated workflows (Professional and above) trigger CRM actions on Apollo events. The three highest-value triggers: sequence enrollment, reply received, and meeting booked.
Name each workflow using event type and object: "Reply Received to Update HubSpot Deal Stage". Clear naming prevents conflicts as you add sequences later.

Enroll a test contact that already exists in your CRM. Confirm in the CRM: no duplicate created, all mapped fields populated, sequence name appears in the source field, and the activity log shows the enrollment event.
Blank CRM fields after sync almost always mean the Apollo source field was empty for that record. Resolve data gaps in Apollo before expanding to your full contact list.
